This Privacy Policy explains how we collect, use, disclose, and safeguard information through our website, membership registration, and related vendor programs (collectively, the “Services”). This Privacy Policy may be updated periodically. Any material changes will be posted on this page with a new effective date.
1. Introduction and Scope
This Privacy Policy applies to all users of the Phoenix Group website and Services. By accessing the Site or registering as a Member, you consent to the practices described in this Policy and to the collection and use of information as described herein.
2. Categories of Personal Information Collected
Phoenix Group collects the following categories of information from or about Members and website users, which may include information relating to company personnel and affiliates (“Personal Information”):
Contact Information – name, business name, title, email address, phone number, and mailing address.
Company and Affiliate Information – company size, affiliated entities, and business segment details.
Employee Data – limited employee contact or role information as necessary for vendor registration.
Operational and Spend Data – data relating to parcel, waste, payment processing, or other vendor-related spend, when supplied by a Member for diligence purposes.
Technical Data – IP address, browser type, and cookie identifiers collected automatically for Site functionality and analytics.
3. How We Collect Information; Cookies and Tracking Technologies
Phoenix Group collects Personal Information in the following ways: (a) directly from Members during registration or participation in Programs; (b) automatically through use of the Site; and (c) from third-party vendors or partners providing services to Members. Phoenix may also receive diligence or transactional data directly from a Member or vendor in connection with a Vendor Discount or Vendor Audit Program.
The Site uses cookies, pixels, and similar technologies to enable functionality, analyze Site usage, and improve performance. Cookies may collect information such as browser type, device identifiers, and pages visited. You can manage or disable cookies through your browser settings; however, some features may not function properly if cookies are disabled. Phoenix does not use cookies for cross-context behavioral advertising.
4. How We Use Information
Phoenix Group uses Personal Information for the following legitimate business purposes:
To register Members and administer access to Vendor Discount Programs.
To share limited Member business and affiliate information with Phoenix Partner Vendors for vendor registration and activation of discounts.
To facilitate diligence data transfer between Members and vendor partners for assessment of Vendor Audit Program eligibility.
To perform analytics and reporting, improve Services, and develop new offerings.
To communicate with Members regarding updates, programs, and opportunities.
To comply with applicable laws, regulations, or enforceable government requests.
5. How We Share Information
Phoenix Group may disclose Personal Information to:
Phoenix Partner Vendors – to register Members for Vendor Discount Programs or conduct diligence for Vendor Audit Programs, solely for these defined purposes.
Service Providers – for website hosting, analytics, or communication services bound by confidentiality agreements.
Legal or Regulatory Authorities – when required by law or to protect Phoenix Group’s rights and users’ safety.
Phoenix Group does not sell or share Personal Information for cross-context behavioral advertising as defined by state privacy laws.
6. Data Security
Phoenix Group uses administrative, technical, and physical safeguards consistent with industry standards to protect Personal Information against loss, misuse, or unauthorized access. However, no internet transmission is completely secure, and you acknowledge such risks when providing information online.
7. Data Retention and Transfers; International Users
Phoenix Group retains Personal Information only for as long as necessary to fulfill the purposes described above or as required by law. Data may be transferred to and processed in the United States. Phoenix Group may continue to use aggregated or anonymized data for analytics and benchmarking, provided it does not identify any individual Member or company.
The Services are operated from the United States. If you access the Site from outside the U.S., you consent to the transfer and processing of your information in the United States, which may have different data-protection laws than your country of residence. Phoenix processes Personal Information only for legitimate business purposes, contractual necessity, or compliance with legal obligations.
8. State Privacy Rights (CCPA/CPRA and Similar Laws)
Depending on your state of residence, you may have the right to: (a) request access to or a copy of your Personal Information; (b) request correction or deletion of Personal Information; (c) opt out of the sale or sharing of Personal Information (Phoenix does not sell or share such data as defined by law); and (d) appeal any decision we make regarding a prior request.

The Site and Services are intended for business users and not for children under 13. Phoenix does not knowingly collect Personal Information from children. If you believe a child has provided us with information, please contact us and we will delete such information in accordance with applicable law.
10. Governing Law and Contact
This Privacy Policy, your use of the Services, and any related data processing shall be governed by and construed in accordance with the laws of the State of Delaware, without regard to conflict-of-law rules. Any dispute arising from or related to this Policy shall be brought exclusively in the state or federal courts located in Cook County, Illinois (Business Court Division), and you consent to such jurisdiction and venue.
